Privacy Policy

This Privacy Policy explains how TRAVLRD LLC ("we", "us", "our") collects, uses, shares, and protects personal data through the travlrd.com website (the "Website"), and what rights you have. Because we serve clients in the EU/EEA, the UK, the United States, and elsewhere, this policy addresses both the EU/UK General Data Protection Regulation (GDPR) and applicable US state privacy laws (such as the California Consumer Privacy Act, as amended by the CPRA).

1. Who is responsible for your data (Controller)

Controller for EU/EEA clients. TRAVLRD LLC operates the Website and is the controller for Website-visitor data and for client relationships outside the EU/EEA. For clients established in the EU/EEA, the service relationship is with Smart Ring Commercial Kft. (registered seat: 2713 Csemo, Iskola dulo 23, Hungary; company registration number: 13-09-239125), which acts as the controller for personal data processed in connection with that relationship. In that case the Hungarian privacy notice and the Hungarian supervisory authority (NAIH) apply.

2. Scope

This policy applies to personal data we process in connection with the Website and our business relationships. It does not apply to third-party websites or services we link to, which have their own privacy policies.

3. The personal data we collect

  • Contact and inquiry data: name, email address, phone number, message content and attachments, and any other information you choose to provide when you contact us, book a call, or complete a form.
  • Quote / project data: details you enter into our AI-based quote calculator or otherwise share about your project (e.g. project type, scope).
  • Lead-form data: data you submit through lead forms on social platforms (e.g. Meta/Facebook "instant forms"), such as name, email, and phone number.
  • Booking data: details you provide when scheduling a consultation.
  • Usage and device data: server log data such as IP address, browser and device type, referring/exit pages, and timestamps, and product-analytics data.
  • Cookie data: as described in Section 8.

We do not intentionally collect special categories of data through the Website.

4. How we use your data and our legal bases

Where the GDPR applies, we rely on the following legal bases (Art. 6(1)):

  • To respond to inquiries and provide requested informationconsent, or steps prior to entering into a contract where your inquiry is about engaging us.
  • To prepare quotes and proposals (including via the quote calculator)pre-contractual steps and our legitimate interest in operating our proposal process. The calculator uses artificial intelligence (Google's Gemini) to generate an estimate from the details you provide; this may involve transfer of that data outside the EU/EEA (see Section 6). The estimate is informational only and does not involve automated decisions producing legal or similarly significant effects.
  • To schedule and hold consultationspre-contractual steps or consent.
  • To perform and manage our client contractsperformance of a contract; for the contact persons of a business client, our and the client's legitimate interest in performing the contract.
  • To send marketing communications (where you have opted in, e.g. via a lead form or newsletter sign-up) — consent. You may withdraw consent at any time.
  • To operate, secure, and improve the Website — our legitimate interest.
  • To comply with legal, accounting, and tax obligationscompliance with a legal obligation.
  • To establish, exercise, or defend legal claims — our legitimate interest.

Where US state privacy law applies, we process personal information for the business and commercial purposes described above.

5. Sharing your data — processors and recipients

We share personal data with service providers ("processors") who act on our behalf, and with recipients where required by law.

We do not sell your personal information for money. See Section 9 regarding "sale"/"sharing" under US law.

6. International data transfers

We are based in the United States, and some of our providers process data in the US or other countries outside the EU/EEA and the UK. Where we transfer personal data of individuals in the EU/EEA or the UK to such countries, we rely on appropriate safeguards under the GDPR (Art. 44–49), such as the EU–US Data Privacy Framework certification and/or the European Commission's Standard Contractual Clauses (SCCs) (with the UK Addendum where relevant).

7. How long we keep your data

We keep personal data only as long as necessary for the purposes above: inquiry, quote, and booking data for 3 years after the inquiry closes; contract-related data for the duration of the relationship and the applicable limitation period afterwards; accounting records for the period required by law (in Hungary, 8 years); and marketing data until you withdraw consent. Server logs are kept for a shorter period (12 months).

8. Cookies and similar technologies

The Website uses cookies and similar technologies, which fall into the following categories:

  • Strictly necessary cookies — required for the Website to function; used on the basis of our legitimate interest.
  • Analytics cookies and technologies — measure Website usage (e.g. Google Analytics, PostHog); used with your consent.
  • Marketing cookies and pixels — support advertising and conversion measurement (e.g. Meta/Facebook Pixel, Reddit Pixel); used with your consent.

Non-essential cookies are only used with your consent, which you can give, change, or withdraw via the consent banner. You can also manage or delete cookies through your browser settings. We recommend publishing an up-to-date cookie list (name, purpose, duration, provider) generated by your consent tool.

9. Your rights

9.1. If you are in the EU/EEA or the UK (GDPR)

You have the right to: access your data (the first copy is free); rectification; erasure; restriction of processing; object to processing based on legitimate interests and to direct marketing; data portability; and to withdraw consent at any time (without affecting prior processing). We do not make decisions producing legal or similarly significant effects based solely on automated processing.

We respond to requests without undue delay and within one month (extendable by two further months for complex requests). You may also lodge a complaint with your local data protection supervisory authority (for matters handled by Smart Ring Commercial Kft., this is the Hungarian NAIH, https://www.naih.hu).

9.2. If you are a US resident (e.g. California)

Subject to applicable law, you have the right to: know what personal information we collect and how we use it; access and obtain a copy; correct inaccurate information; delete your information; and opt out of the "sale" or "sharing" of personal information. We will not discriminate against you for exercising these rights.

We do not sell personal information for monetary value. Certain advertising/analytics cookies may qualify as "sharing" (cross-context behavioral advertising) under California law; you can opt out via the cookie consent controls.

9.3. How to exercise your rights

Contact us at info@travlrd.com. We may need to verify your identity before acting on a request. You may use an authorized agent where the law permits.

10. Security

We apply reasonable technical and organizational measures to protect personal data, including encrypted (HTTPS/TLS) transmission, access controls, and the use of reputable, professional hosting providers. No method of transmission or storage is completely secure.

11. Children's privacy

The Website is not directed to children. We do not knowingly collect personal information from children under 16 (or under the age set by applicable local law, e.g. 13 in the United States). If you believe a child has provided us personal data, please contact us and we will delete it.

12. Changes to this policy

We may update this Privacy Policy from time to time. The updated version takes effect when published on the Website.
